Email policy

This page sets out what DutyTick sends by email, how an address gets onto our list, and how to take it off.

What we send

Two kinds, kept separate. No marketing mail is sent today at all. The transactional mail described below starts when companies are using DutyTick, apart from the first two, which are live now.

Marketing

Nothing. Asking for early access is a request, not a subscription, so it does not put you on a mailing list and nothing marketing is sent to you as a result of it. If that ever changes we will ask first, separately, and this page will say so before it does.

Transactional

Confirmation of your early access request

One message, sent straight back when you submit the form, saying we have it and where it came from. It is the receipt for something you just did, so there is nothing to unsubscribe from.

Replies

An answer from a person to a request or a mail you sent us.

Attendance reports and alerts

Once DutyTick is running for your company: attendance summaries, approval requests and reminders. Which of these are sent is configured by your company.

Account and service mail

Once accounts exist: password resets, invitations, changes to these policies, and notices about the service itself.

We do not send third party offers or mail on behalf of anyone else.

How we get your address

Two ways only. You fill in the early access form, or you write to us.

The form submits to us, so the address is typed rather than sent from your own mail app. That means we cannot know it is yours, and we do not pretend otherwise. It is used to answer the request and nothing else, the confirmation that follows says where it came from and that ignoring it is enough, and no mailing list exists for it to be added to.

We do not buy, rent, exchange or scrape addresses, and we do not add people from business cards, signature blocks or introductions.

If somebody has put your address into our form, tell us at hi@dutytick.com and we will delete the request. There is nothing to unsubscribe from, because nothing further is sent.

How to stop it

Nothing marketing is sent today, so at the moment there is nothing to stop. This is what will happen when there is.

Every campaign email carries an unsubscribe link. One click, no login, no confirmation step, and the address stops receiving campaign mail straight away.

Writing to hi@dutytick.com is the second route, handled by a person rather than the link, and done within two working days.

Unsubscribing removes you from marketing mail permanently.

Transactional mail is different. A reply, a confirmation of a request or a password reset follows from something you did, so there is nothing to unsubscribe from. Reports and alerts are configured inside the product by your company. To stop everything, ask us to delete your record.

Bounces and complaints

Both are treated as final.

Hard bounce

The address does not exist, or the receiving server refuses it permanently. It is suppressed and not sent to again.

Complaint

A message is marked as spam. Treated as a hard bounce, suppressed permanently, with no follow up.

Soft bounce

A temporary failure, such as a full mailbox. Retried, then suppressed if it keeps failing.

Unsubscribe

Same suppression list, same permanence.

The suppression list is checked before every send, and a listed address is dropped before the message goes anywhere.

Authentication

Our sending domain publishes SPF, DKIM and DMARC records, and messages are signed, so a receiving server can confirm they came from us and were not altered on the way. Bounce and complaint notifications return to us automatically and feed the suppression list above.

What we never do

• Sell, rent, share or otherwise pass your address to anyone for their own marketing.
• Send marketing to an address that has not written to us asking for it.
• Ignore or delay an unsubscribe request.
• Send from a false name, a misleading subject line, or an address that cannot receive a reply.
• Continue mailing an address that has bounced or complained.

If we get it wrong

Write to hi@dutytick.com. If you are receiving mail you did not ask for, tell us and we will remove the address and find out how it got there.

Changes to this policy

If this policy changes materially, the date at the top changes.
